How to group related Entities together from the point of view of establishing total fees worth

It is possible in LawMaster to link entities together from a Parent / Child perspective so that related entities can be grouped together from the point of view of establishing total fees worth and creating Combined and Related Debtors Statements.


Step-by-step guide


Summary:

  1. Setup the relationship types (if they don't already exist) 
  2. Relate the entities together 
  3. Set the 00-R23083 parameter to Y so Top Client Search can include the "Credit Control" entity relationship 
  4. Create a Combined Debtor statement


Detailed Steps:

  1. Setup the relationship types (if they don't already exist)
    1. Go to Menubar > Parameters > Matter and Client > Entity Relationship Types 
    2. Make sure the following relationship types exist:
      1. ZM-ZS Credit Control - Parent 
      2. ZS-ZM Credit Control - Child


    3. If they don't exist, then:
      1. Go to Menubar > Parameters > Matter and Client > Entity Relationship Types 
      2. Right click on the grid and select Add 
      3. Setup a relationship as per this screenshot:


      4. Click OK 
      5. Right click on the grid and select Add 
      6. Setup a relationship as per this screenshot:


      7. Click OK
      8. Go to Menubar > File > Reset Login Settings to see the change

  2. Relate the entities together
    1. Go to Menubar > Enquiries > Entities Search 
    2. Search for the parent Credit Control entity 
    3. Select the entity 
    4. Select the Related Entities tab
    5. Right click on the Grid and select Add


    6. Select the Relationship Type of ZM-ZS 
    7. Select the child entity 
    8. Click OK 
    9. Repeat steps d. to h. for each child Credit Control entity

  3. Set the 00-R23083 parameter to Y so Top Client Search can include the "Credit Control" entity relationship
    1. Go to Menubar > Parameters > Miscellaneous > Maintain type '00' parameters directly 
    2. Make sure the R23083 parameter exists and is set to Y
    3. If it doesn't exist then:
      1. Go to Menubar > Parameters > Miscellaneous > Maintain type '00' parameters directly 
      2. Right click on the grid and select Add
        1. Set the Code to: R23083 
        2. Description to: Top Search includes Credit Control entity relationship 
        3. Flag to Y 
        4. Click OK
      3. Go to Menubar > File > Reset Login Settings to see the change.
    4. If the parameter has been setup correctly you will see the Use "Credit Control" entity relationship option when using the Top Clients Advanced Entity Search


  4. Create a Combined Debtor statement
    1. Go to Main Menu > Accounting > Debtors > Enquiry > Debtor Workbench 
    2. Select the parent entity 
    3. Right click on an invoice for the Parent Entity 
    4. Select Generate Statement(s) 
    5. Tick the Related Debtors option


    6. Click OK
    7.  This will generate a combined statement including all child credit control entities invoices.


NOTE: It doesn't follow more than one "link" of relationship. So it it will report on credit control "children", but not "grand-children".
