The bulk upload of cost transactions into LawMaster can be done via the Bulk Load Time Cost Transactions module under Main Menu > System Maintenance > Data Migration Tools > Bulk Load Time Cost Transactions

Step-by-step Guide

  1. Prepare the Excel Spreadsheet of Time-Entries and/or File Notes

    1. Create spreadsheet to prepare the records. ClientRef and File Note columns are optional. Date column must be in the format of dd/mm/yy.
    2. Save as a tab delimited text (.txt) file.
    3. NOTE: The first line imported from the file is assumed to be a header row (i.e. column headings).
  2. Load a Test Run

    1. You must first load a test run to detect errors. Go to Main Menu > System Maintenance > Data Migration Tools > Bulk Load Time Cost Transactions
      1. Name of File: use the ellipses (three little dots) to find the file you saved in Step 1.2.
      2. Update Option: select List Only.
      3. Bypass Header: select Yes.
      4. Click OK.
    2. Review the transactions processed in the test run. If any items appear in the "Errors" tab, you will need to address them in the source file.
      1. If all records are correct, they will appear under the "Time Cost Transactions Processed" tab as follows:
  3. Load a Final Run

    1. If there are no errors, then run the Bulk Load Time Cost Transactions again. This time, for Update Option, select Create As Well

Once you have loaded this file, the cost transactions and any file notes will appear on the Matters.

Choosing Accounting Period for Cost Transactions

The cost import routine provides two options for assigning an Accounting Period and YBD to the cost transactions.

1. Accounting period will be calculated based on the transaction date specified in the import file,

or

2. The current accounting period of the system will be used for all cost transactions.

To use option 2, add or modify a parameter of Par_Type = 00, Par_Code = R27125 with Par_Flag value of Y. Option 1 is the default if there is no R27125 parameter or the Par_Flag = N.
