Trust Statements

To allow you to print your Trust Statements in bulk, this is done from the Main Menu > Accounting > Trust Accounting > Trust > Trust Statements.  

 

 

 

This module provides a staging area for the selection of per-matter trust statements for printing.

 

Form Settings

The default trust statement used is TS-Trust Statement.   The settings for the trust statement are found from System Maintenance > Forms > Forms Enquiry > TS Form.

 

 

You can change the Print/Send Option to the relevant setting to Review All, Nil or Send depending on how you would like these merged. 

 

Review All – Review all statements.

Nil – Merge and Save to the matter without reviewing.

Send – Send automatically by email (once merged).


Regulations

This screen will default to a search in accordance with the Legal Profession Act requirements, with a default processing date of the end of the last financial year.

Search criteria correspond to Trust Statement Requirements pursuant to the Legal Profession Act 2004 regulations, being as follows:

 “Reg 3.3.28

(6) A trust account statement shall be furnished – 

(a) as soon as practicable after completion of the matter to which the account record relates; or

(b) as soon as practicable after the person for whom or on whose behalf the money is held or controlled makes a reasonable request for the statement during the course of the matter; or

(c) except as provided for by sub-regulation (7), as soon as practicable after 30 June in each year.

(7) The law practice is not required to furnish a trust account statement under sub-regulation (6) (c) in respect of a ledger account or record if at 30 June –

(a) the ledger account has been open for less than 6 months; or          

(b) the balance of the ledger account or record is zero and no transaction affecting the account has taken place in the last 12 months; or

(c) a trust account statement has been furnished within the previous 12 months and there has been no subsequent transaction affecting the ledger account or record.”

 

Processing

 

No Statement Since:

Defaults to end of last financial year

And Ledger Opened Before:

The matter itself (and thus, trust ledger) must have been opened on, or before this date - Defaults to 6 months prior to the start of the financial year

And For Zero Balance, Where Transactions After:

If the ledger balance is zero, there must have been transactions after this date - Defaults to 12 months before end of last financial year

And for Non-Zero Balance, Transactions since Last Statement After:

If the ledger balance is non-zero, there must have been transactions since the last statement produced after this date - Defaults to 12 months before end of last financial year

 

You can modify the search criteria to suit your processing requirements.

 

The grid will display all matters that meet the relevant search criteria with the Print Statement field selected to print statements for all matters that meet the criteria.  The grid also returns the date since last statement, date opened, date closed and the reason for statement. 

 

You can de-select matters in bulk from the Context Menu, by selecting those  matters > right click > Unselect Highlighted.

 

 

 

When you have selected the matters to print the trust statements for, select the trust statement form (by default uses TS) and Print Statements.

 

 

This will then merge the trust statements for the selected matters based on the form settings selected. 

 

The matters will then be removed from the list.
