Emailing Cabinets

This article outlines how to email Cabinets and Cabinet Item(s) from LawMaster. 


There are two main ways to email the Cabinet Items: 

  1. Selecting the Email Cabinet Folio(s) option from the context menu in the when right clicking on the selected Cabinet. 
  2. Selecting one of the options from the Send Cabinet Item(s) from the context menu in the Cabinet Items grid of the selected Cabinet. 



Email Folio(s) 

The Email Cabinet Folio(s) option can be selected by right clicking on the selected Cabinet (1) and selecting the Email Folio(s) option in the context menu that appears (2) 


Once this option is selected the following Export Window will appear:


From here you can select the format of the items that will be attached to the email for items in the cabinet from the drop down menu:


Original: All items in the cabinet are attached separately in the original format of the folio 

PDF: All items in the cabinet are attempted to be converted to PDF and attached separately 

PDF (Combined): This is the default setting. LawMaster will attempt to convert all items in the cabinet into the PDF format and combine them into a single PDF. (Note: depending on how many files are in the cabinet, this may make the size of the attached PDF to large to send via Email, in which case one of the other options should be used) 


You can also choose how to Output File Notes, whether to include Page Numbers, an Index Page and select if you want to save the outputted file as a Folio to the matter it is associated to. 


The option of Override File Name will only appear when the PDF (Combined) Format is selected and will allow you to set the name of the PDF file that is generated:

Sending Cabinet Item(s) Options The Send Cabinet Item(s) context menu option on the Cabinet Items grid allows you to send the selected Cabinet Item(s) via both Email and Fax options. 

(Note you can select multiple items by Ctrl + Left Click or Ctrl A (to select all items) 


The sub-menu allows you to Send Precis and Attachment, Precis only, or Attachment only for the selected Cabinet Item(s).


NOTE

  • When an email is to be sent from LawMaster, the system first checks if there are any WORD, RTF, or HTML attachments to the email. The system provides a check box on the email screen to nominate whether the attachment/s are to be sent as a PDF or not. 
  • When sending Cabinet Item(s) for a Matter by Fax, the Client’s Fax No will be populated in the Recipient list; in the case for an Entity, the Entity’s Fax No will be populated in the Recipient list. 
  • If the Cabinet Item(s) is to be sent to another Recipient, the user may enter the email address of the Recipient by selecting the Address Book option from the LawMaster ribbon, if using the Outlook Addin. The default recipient list will be Contacts which is a combination of My Contacts for User and Matter Parties of Matter
